Authorised media authoring

Prepare a small WebVTT sample before converting a whole caption file

Validate the header, encoding and cue timing of an authorised caption file with a short readable sample before a larger conversion.

Subtitles are not the audio track

Renaming the extension is not a conversion

WebVTT is a defined text-track format with a WEBVTT header, UTF-8 text and timed cues. A subtitle file in another syntax does not become valid WebVTT merely because its extension changes. Before converting a long authorised transcript, create a tiny sample that exercises the exact characters and timing style you need. This catches a format problem before it is mixed with hundreds of cue edits.

Keep the original file unchanged and work on a copy. Record which media version the captions accompany. A correct file for a differently edited video can still appear at the wrong moments. Format validation and content alignment are separate acceptance checks, so neither should be skipped simply because a player lists the track name.

Use a two-cue hypothetical sample

Imagine a creator testing a greeting at 00:00:01.000 to 00:00:03.000 and a second sentence at 00:00:04.000 to 00:00:06.000. Those are hypothetical timing values, not instructions for a particular programme. The sample should include a character such as an accented name if the real transcript needs it. That makes an encoding problem visible early.

Use the format's required timing separator and blank-line structure through a documented editor or exporter. Each cue must end after it starts. Avoid adding complex positioning or styling to the first sample; simple readable text gives a clearer baseline. Once basic loading and timing work, add the styling actually required by the target player and test it there.

Check text, timing and selection separately

First confirm that the intended track can be selected. Then confirm that its text renders correctly. Finally compare each cue with the spoken or meaningful non-speech event. A visible track label proves none of the latter steps. If text appears but the timing is wrong, do not keep changing encoding settings; preserve the successful character rendering and investigate the alignment.

Overlapping cues can be valid in WebVTT, but that does not make every overlap readable or intentional. Review the actual presentation, especially when two speakers or sound descriptions share the screen. A syntax checker cannot decide whether the information is clear enough for the audience. Human review is part of caption preparation, not an optional cosmetic pass.

Scale only after the baseline works

Convert the full authorised file with the chosen tool, then inspect several points across its duration: beginning, middle and end, plus any edit boundary. Retain the short sample as a diagnostic reference. If the full file fails while the sample works, compare the first failing cue and nearby syntax instead of rebuilding the entire media workflow blindly.

Keep a version note connecting the video export and caption export. That reduces the chance of uploading a newer picture with an older timed track. The final result should be a file that loads, communicates the required information and stays aligned on the intended player. A familiar extension or a successful upload alone is not that result.

Questions answered

Can I rename an SRT file to VTT?

A name change does not rewrite syntax or guarantee valid WebVTT. Use a documented converter or editor and validate a small sample.

Does a track appearing in the menu prove the captions are correct?

No. Check character rendering, content, timing and readability against the intended media version.
